Conducting an Inspection on IOS Devices

Before you can conduct an inspection on your mobile device, you must:

  • Login to the RedRabbit mobile app. Click here to see how.
  • Schedule an Inspection on the RedRabbit portal and then download the scheduled Inspection from the RedRabbit portal. Click here to see how or
  • Schedule an Inspection directly on your mobile device. Click here to see how.

Once you have done the above and you have opened the RedRabbit app on your mobile device, you will see the list of downloaded Inspections under the SCHEDULED tab as shown below.

Step 1:  Swipe down to download scheduled inspections

The Scheduled inspections will be displayed under the Scheduled tab. Click on any one of the scheduled inspections to start with the Inspection. The Inspection Overview pages will be displayed showing summary information for the Inspection as shown below.

Note: On the Inspection Overview page you can see:

  • Address information for the Property
  • Inspection Date and Time
  • Landlord and Tenant details
  • Provision for General Comments
  • Three icons at the bottom:
    • Images - view a page showing all the pictures taken
    • Sign Here - open a signature page where the parties can sign on the device
    • Checklist - open the Checklist page to conduct the Inspection

Step 2: Open the Checklist for the selected Inspection

Click on the CHECKLIST icon above to open a page showing a list of the predefined areas that needs to be inspected. When you click on any of the areas, the list of checklist items that need to be checked will be displayed.

Note - to delete an Area: swipe left on the area and follow the prompts to delete. 

Note - to add a New Area: Click on the Area + icon (top right). Type a Name for the New Area and select the Checklist set to be used from the drop down at the bottom. The checklist items for the selected area will be displayed when you click on the drop down list. Once you have select the checklist set to use, click Create Area (see example page below).


Step 3: Select the area to Inspect

Click on the first area to inspect. When you click on Living Area for example, a predefined list of checklist items will be displayed that need to be checked in the Living Area as shown below.

Note - to delete a Checklist Item: Swipe left on the item and follow the prompts to delete. 

Note - to add a New checklist item to the list of checklist items for an Area: Click on the Checklist Item + icon shown at the top right on the Area label banner. Capture the name of the item and click ADD.

Step 4: Capture the Condition of each Checklist item for the Area

For each of the Checklist items, click on the checklist item and then click on any combination of the Condition Toggle buttons that will best describe the condition of the checklist item. For example to indicate that the ceiling is Dirty and Undamaged, select Dirty from the first column and then Undamaged from the second column. The ceiling condition will then be displayed as shown on the page below. 

Step 5: Capture actions that might be required to restore the item reported on

Continue with the process to select the next Checklist Item and then capture its condition. Where a defect is noted, such as the example below where the Electrical Sockets are damaged, you can use the Hammer & Spanner icon to select an action from the drop down list to restore (clean, repair, replace) the item.

Step 6: Append comments to further describe identified issues if required

If you would like to add additional notes to describe the issue noted, you can click on the Comment icon just above the Hammer & Spanner icon. Then just start typing what comes to mind. In the example below, there is Marks on the Trap Door and when we start typing the word "Marks", the system will display a list of previously captured issues with the word "Marks" in. You can then just select the relevant comment or continue to type or change as you please. We have found that this feature greatly reduces the amount of time spent typing.

Step 7: Take photos to support the comments where required

If you need to take a photo to further supplement the information captured, you can do so by clicking on the Camera icon just below the last condition toggle column as shown on the page below. The app will then start the camera app on your device to allow you to take a photo of the issue. Once you have focused your view finder, you can click OK. Once the photo has been taken, a thumb nail of the photo will be displayed just below the Checklist Item condition bar. You can continue to take some more photos if required.

Note: Photos cropped to a square area will result in more professional looking Inspection Reports. Although there is no limit on the number of photos that you can include, remember that a large amount of photos will take much longer to upload after completion of the Inspection. Since photos are stored locally on your device, it also takes up storage space especially if your default camera settings are set to take high res photos. It should really not be necessary to take more than one or two photos per identified issue.

Step 8: Make general comments where applicable

Once you have completed checking the checklist items for all the areas, you can return to the Inspection Summary page and click on General Comments to capture any general comments about the property that you might have.

Step 9: Review and Sign the Inspection

Once you have completed the Inspection, you can proceed to review the Inspection Results with the Tenant on the device and then sign-off on the Inspection on the device. Click here to see how.
