My Portfolios and Permissions

A Portfolio is a group of Properties. Users can be given access to any number of Portfolios. You can view and change portfolios and permissions from the Portfolios and Permissions panel on the User Profile Dashboard.

  1. Click the User Profile icon on the main menu bar
  2. Select My Profile or Company Settings from the drop-down menu
  3. Select the Portfolios and Permissions Panel on the left to display the Portfolio and Permissions Panel.

Your Portfolios

On the Portfolio Panel, you will see which Property Portfolios you have access to. All properties not linked to a defined Portfolio will be linked to a Default portfolio. Access to portfolios is managed on a company level and can only be changed by a user with permissions to Manage Portfolios.

Your Mailboxes

On the Mailboxes Panel, you will see which Mailboxes you have access to. Mailboxes are set up on a Company level and can only be created and changed by a user with permission to Manage Mailboxes.

Account Setup Permissions

The Account Setup Permission panel shows the permission status of the available Account permission flags. These flags are set up on a Company level by users with permission to Manage Company Details enabled. Provision has been made for:

  • Manage Company Details - user can change company profile information
  • Manage Billing - user can update billing method and view invoices
  • Manage Users - user can create and manage users, their permissions, and the portfolios that they can access
  • Manage Portfolios - user manage portfolios and manage access to the portfolios
  • Manage Mailboxes - user can manage mailboxes and access to the mailboxes
  • Manage Inspection Settings - user can edit Inspection Settings
  • Manage Ticket Settings - user can edit Ticket Settings

Portfolio Data Permissions

The Portfolio Data Permission panel shows the permission status of the available Portfolio Data permission flags. These flags are set up on a Company level by users with permission to Manage Portfolios enabled. Provision has been made for:

  • View Assets - user can view basic information about an Asset
  • Manage Assets - user can create and update Asset information
  • View Contacts - user can view basic information about a Contact
  • Manage Contacts - user can create and update Contact information
  • Manage Saved Replies - user can setup Email and SMS Templates also called Saved Replies
  • View Service Providers - user can view basic Service Provider information
  • Manage Service Providers - user can create and update Service Provider information

Inspection and Maintenance Ticket Permissions

To view the permission capability of each option, hover your mouse over the question mark net to it and it will provide a description. 

The Inspections Permission panel shows the permission status of the available Inspection permission flags. These flags are set up on a Company level by users with permission to Manage Inspection Settings enabled. Provision has been made for:

  • Manage Inspections  - user can schedule, view, and update Inspections
  • Manage Inspection Settings - user can view and update default inspection settings 
  • Use Inspection App - user can use the mobile Inspection App to conduct Inspections

The Maintenance Ticket Permission panel shows the permission status of the available Maintenance Ticket permission flags. These flags are set up on a Company level by users with permission to Manage Ticket Settings enabled. Provision has been made for:

  • Manage Maintenance Tickets - user can open and manage maintenance tickets
  • Manage Ticket Settings - user can view and update default maintenance settings 
  • Manage Quotes and Invoices - user can compile and send maintenance quotes and invoices

Export Permissions

The Export Permission panel shows the permission status of the available Export permission flags. These flags are set up on a Company level by users with permission to Manage Company Details enabled. Provision has been made for:

  • Export Assets (Properties) - user can export a list of properties to excel
  • Export Asset Groups (Asset Groups) - user can export a list of asset groups to excel
  • Export Contacts - user can export a list of contacts to excel
  • Export Inspections - user can export a list of inspections to excel
  • Export Maintenance Tickets - user can export a list of maintenance tickets to excel
  • Export Service Provider Details - user can export a list of service providers to excel
